Application for Early Arrival 2013
Willamette University has many demands on its housing accommodations during the summer months ranging from repairs and general maintenance to scheduled events and conferences. Preparing a residence hall for occupancy requires many hands and many hours. Our facilities staff is busily working to prepare your room for your arrival. Many times, we are simply not ready to provide the experience and support you deserve until the actual dates of your contract.
Prior to the scheduled opening of the residence halls, our new students are welcomed to Willamette with our Opening Days program. Events during Opening Days are designed to help students enter into college life at Willamette and are exclusive to those students. In order to best facilitate this effort, it is our policy to limit the number of returning students permitted on campus during Opening Days.
Can I request early arrival? Requests to arrive early can be made. It is a privilege to be allowed on campus prior to the scheduled opening of the residence halls. All students needing to move into the residence halls before their official arrival date must submit an Early Arrival Request form no later than August 5, 2013. Requests must be submitted online by completing the Early Arrival Request Form. No requests will be accepted by telephone or email. If you are here to work on campus, you may arrive up to 24 hours before your shift or training starts. Please know, by submitting an application you are not guaranteed approval to arrive early. Your application is also subject to a conduct check.
All students including those representing the University as a varsity athlete for football, volleyball and soccer will need to complete an application.
How much will it cost? You will be charged $75.00 per night if you are approved to arrive early. Athletes, Opening Days Leaders, Jump Start Leaders along with students who provide other “essential” functions such as Bistro Managers, Collegian Staff, WITS Help Desk and WEMS will be permitted to arrive as long as they are listed on their organization’s roster (submitted August 1st). These students will not be subject to a charge if they arrive during the time that their group or organization is assigned to arrive. Arriving prior to the assigned time may result in a charge. (Examples given above are nota complete list of “essential” functions. Please consult your advisor if you have questions about your group’s ability to arrive early.)
Why do I want to arrive early? Some folks may not be approved to arrive early. We do not invite folks to return early if:
- You are a student living in an apartment and want to arrive early to set it up.
- Your roommate is here and you want to be here, too.
- Your parents are going on vacation and they need to drop you off.
- You have a summer lease that is expiring before the halls open and need a place to stay.
- It’s just more convenient for you to arrive earlier and you want to come early.
We understand that there may be a variety of private, legitimate reasons to arrive early. Those will be handled on a case by case basis.
What are alternatives to arriving early? We know you’re excited to come back, but if you’re not approved to arrive early, there are other options that may work for you.
- Go to a hotel.
- Stay with an off-campus friend.
- Stay home a little longer.
So, what’s next? If you choose to submit an application for early arrival, your application is reviewed and you will get an email that will authorize or deny your request. You will also receive instructions on how and where to get your key along with other important information you should know.
