Willamette University announces a full-time position for an Associate Director of Advancement Services. The Office of Advancement Services is the keeper of the Willamette community, in many ways. The ability to store and extract data on our constituents plays a critical role in building and sustaining a vital alumni body and base of support. Advancement Services, by virtue of its role in maintaining the alumni and development database, is the guardian of this data and its integrity. The Associate Director of Advancement Services serves as the primary manager of the data.
Under the supervision of the Senior Director, the Associate Director will deliver high quality reporting services. He/she will develop customized reports in SQL, and create processes for electronic transfer of information into statistical and reporting tools to facilitate data manipulation, analysis, and report generation. The Associate Director will develop and execute strategies for continuous quality improvement in services to and communications with departments and other University constituencies that utilize alumni and parent data.
The work involves focus and precision in manipulating complex demographic and financial information. Work may include regularly-scheduled data retrieval as well as ad hoc, periodic or sporadic requests of varying kinds. The Associate Director is expected to not only be able to build accurate reports and data sets, but to converse easily with non-technical end users about their needs and provide direction and clarity to improve the quality and functionality of their requested data.
The position of Associate Director of Advancement Services is a 12-month administrative appointment. Salary is commensurate with experience and qualifications and offers an attractive benefits package.
The duties and responsibilities of this position include, but are not limited to the following functions which, are not listed in any particular order of significance:
1. Develop, test, and provide reports in a timely manner in support of all development and alumni relations programs as well as other University programs which rely on advancement data.
2. Serve as primary quality assurance manager for advancement data, having developed a deep knowledge of the database, its structure, tables and procedures.
3. Gain a thorough and complete knowledge of all aspects of data entry into the University's fundraising database.
4. Working with IT, build and execute a testing plan to ensure new software releases and upgrades are implemented successfully.
5. Regularly address critical needs which occur on short notice and will require immediate attention. Organization, prioritization, judgment, and problem-solving skills will be challenged.
6. Serve as primary liaison between non-technical end users and IT staff regarding complex reporting needs that require the assistance of IT. Must be able to interpret requests and translate them into technical terms.
7. Understand and utilize a variety of database software to design, develop, test and deploy ad hoc reports.
8. Import and export data between ancillary databases and software tools.
9. Perform database programming functions such as building and updating virtual fields, database structures and report generation.
10. Develop user documentation of system processes, procedures, and training.
11. Train new staff on database information access and reporting tools.
12. Perform other duties as assigned.
1. A Bachelor's degree and three years of prior work experience managing data requests required.
2. Demonstrated ability to write SQL programs, create downloads, and develop reports.
3. Ability to retrieve data accurately and in a timely manner.
4. Prior database management experience preferred.
5. Experience utilizing a variety of database software to design ad hoc reports.
6. Prior experience with Benefactor, Colleague, or other advancement database products preferred.
7. Demonstrated ability to manage multiple projects simultaneously.
8. Must be able to meet deadlines, think strategically, and analyze financial information.
9. Positive attitude and strong work ethic.
10. Personal integrity and ability to appropriately handle confidential and sensitive information.
11. Proven ability to establish and maintain collaborative working relations with both internal and external constituents.
12. Successful clearance of a criminal conviction record check.
