Holidays and University Closures

Holidays

Employees who work at least 24 hours per week on average all year or 60% of a full-time schedule are eligible to receive holiday pay. Employees who are employed less than 40 hours per week or 100% of a full-time schedule will earn holiday pay on a pro-rated basis and must work at least 50% of their regularly assigned work schedule in a given month.

The schedule of official University holidays is established annually. Additional time off may be granted by the President of the University. Eligible employees who are required to work on holidays will be given time + one-half.* An employee must work and/or be in paid leave status on the last workday before, and the first workday after an official University holiday to receive paid time off.

Eligible staff who are normally scheduled to work on the date of the holiday will be paid based on their usual scheduled hours. For employees on varied schedules, the amount of holiday pay will be based on their regularly scheduled hours/days.

If the date of the holiday is not a regularly scheduled workday, the affected employee will be granted additional Personal Preference hours that must be used prior to the end of the fiscal year. To initiate this, the employee should coordinate with their supervisor who will work with HR/Payroll to request the addition of Personal Preference hours. As with all Personal Preference time, hours must be used  by the end of the last pay period in the fiscal year. Personal preference time cannot be carried over to the next fiscal year. 

Veterans Day: Veterans receive observed holiday off with pay (14 days advance request and proof of service required).

Non-exempt staff receive time + one-half for working the following days: Independence Day, Labor Day, Thanksgiving (two days), Christmas Eve, Christmas Day, New Year’s Eve, New Year’s Day, Memorial Day.

University closures 

At the discretion of the University President, Willamette University schedules closures at certain times of the year to provide University employees with additional time away from work. Our University Closure Policy for Staff establishes protocols for university closures and expectations for attendance during university closures, among other matters.
