Motor Pool and Vehicle Rental

In July 2016, a Bearcat Bulletin article announced an updated motor pool policy. 

Beginning immediately, the in-house motor pool will be phased out and most individual and group renters will switch to Enterprise Rent-A-Car. On campus vehicles through ZipCar are also still available and a good choice for short duration trips.

The change was recommended by a working group of representatives of motor pool users and University Services staff, who met throughout the spring and summer to address challenges with the continued operation of an in-house motor pool. The working group was charged with the task of identifying solutions to these challenges while considering the conveniences that on-site vans offer.

Renting a vehicle from Enterprise for an academic class field trip

  1. Get the SafeDriver certification if you’re a student or will be driving students.
  2. If you are taking students complete a trip form at least 24 hours before the trip, or by 3pm on Fridays for trips occurring Saturday, Sunday or Monday to allow for approval time.
    1. You are responsible for ensuring your participant list is accurate prior to departure. You may edit the trip form at any time.
  3. For academic class field trips, the Service Center will book the vehicle and arrange delivery to campus to minimize the impact on the academic day.
  4. The keys will be at the Service Center desk. Your vehicle will be parked in the lot behind the Service Center, and you will return it to the same location.
  5. Gas should be purchased using a P-Card, or may be purchased with personal funds and reimbursed.
  6. During your trip, if you have an emergency call 911, then contact Campus Safety at 503-370-6911.
  7. For roadside assistance, contact Enterprise at 1-800-307-6666.

Renting a vehicle from Enterprise for all other trips (clubs, campus life departments, etc.)

  1. Get the SafeDriver certification if you’re a student or will be driving students.
  2. If you are taking students complete a trip form at least 24 hours before the trip, or by 3pm on Fridays for trips occurring Saturday, Sunday or Monday to allow for approval time.
    1. You are responsible for ensuring your participant list is accurate prior to departure. You may edit the trip form at any time.
    2. All student organizations must have approval from both their advisor and Campus Safety prior to having a vehicle booked.
  3. Go to Enterprise.com.
    1. Enter your location and select dates and age of the renter.
    2. Enter XZ46WUN as the account number.
    3. When prompted for Billing, select “no” to proceed to rent using a P-card.
  4. Getting your vehicle
    1. You may travel to Enterprise on your own, but you cannot leave your vehicle there.
    2. Check with the Service Center x6000 or your group/club advisor for the weekend’s shuttles to Enterprise. The shuttle will operate on Saturday only and will take drivers to Enterprise to complete rental. It will typically depart at 8:30 am.
    3. All other days of the week, you may contact Enterprise to schedule a pick-up.
  5. Students may obtain gas cards from Campus Recreation or Student Involvement. Gas may also be purchased using a P-Card, or with personal funds and reimbursed.
  6. Chains will be coordinated through Outdoor Programs.
  7. In an emergency call 911, then contact Campus Safety at 503-370-6911.

  10. Returning your vehicle
    1. Enterprise can provide transportation back to campus during normal business hours.
    2. Outside of Enterprise business hours, you may drop your passengers off at campus and contact Yellow Cab at 503-362-2411 to meet you at Enterprise. Tell the dispatcher you are using SafeRide.
    3. Once at Enterprise, keys should be dropped in the after-hours lockbox.

Renting a bus from First Student

  1. Trip forms need to be completed for trips that require bus transportation at least 24 hours before the trip, or by 3pm on Fridays to allow for approval time.
  2. If you have not rented a bus before, contact the Service Center x6000 for options.
