Name, Pronoun, and Gender Identity Changes and Information

As we strive to be an inclusive community, Willamette has implemented a series of enhancements to administrative systems that allow students and employees to indicate their preferred name, pronouns, and gender identity if they choose.

All members of the Willamette community can use SAGE (students) or Workday (Employees) to update their following personal information:

Preferred name

Willamette University recognizes that as a community many of its members use names other than their legal names to identify themselves. Willamette acknowledges that a preferred name can and should be used wherever possible in the course of University business and education. Accordingly, Willamette students, faculty and staff may choose to identify themselves in the University's information systems with a preferred first, middle, and/or last name (in addition to a legal name). Preferred Name changes generally will take effect the next day, but may take longer in some systems.

The goal of this initiative is to reduce the visibility of legal name in information systems to only those systems where it is required for legal reasons or by University policy. The transition to using preferred names is in process, and it will take some time to update all of the university’s systems. Information regarding the status of preferred name usage in individual information systems is below.

Community members are not required to select a preferred name; legal names will be used unless a preferred name has been specified. Preferred names shall not be used for the purpose misrepresentation, avoiding legal obligations, or otherwise in any manner that violates University policies or federal, state, or local laws. The University reserves the right to remove any Preferred Name without prior notice. Abuse or misuse of the preferred name privilege may be subject to disciplinary action.

Pronouns

Willamette University will attempt to use your pronouns when referring to members of the community in verbal communication. Pronouns will generally be avoided in written communication, to reduce the possibility of getting them wrong. To specify or change their pronouns, students should use SAGE and employees should use Workday.

Pronoun changes generally will take effect the next day in the university’s systems, but other community members will not be proactively informed of a person’s change of pronouns. For example, course rosters with pronouns will be given to faculty one week before the start of classes and while a student is able to change their pronouns in the system at any time, faculty, others may will not be notified of this change. Therefore, if you want others to use your recently changed pronouns, you should inform them of the change.

The transition to using pronouns in University systems is in process, and it will take some time to update all of the systems. Information regarding the status of pronoun usage in individual information systems is below.

Community members are not required to select pronouns. If none are entered, the pronoun fields in information systems will remain blank. Starting Fall of 2021, students and employees may select from the following options:

Gender

To assist in providing an inclusive University experience for students and employees whose gender identity or gender expression does not conform to their assigned legal sex at birth, Willamette will allow students to change their gender identity in Sage and employees in Workday.

Incoming students may have provided gender identity or pronouns in Admission application data but they will be prompted to enter them again in SAGE to help ensure they reflect their chosen identity. Gender Identity information may be used to facilitate housing assignments and other student services, and to develop future support services. Gender Identity is not displayed in any Willamette directories.

Beginning Fall of 2021, students and employees may select one of the following gender identity categories from this pre-defined menu of options:

  • Woman (Cis or Trans)
  • Man (Cis or Trans)
  • Trans Nonbinary
  • Nonbinary
  • Two Spirit
  • Genderqueer
  • Other
  • Prefer Not to Answer

Gender Identity changes shall not be used for the purpose misrepresentation, avoiding legal obligations, or otherwise in any manner that violates University policies or federal, state, or local laws. The University reserves the right to remove any gender identity change without prior notice. Abuse or misuse of the policy may be subject to disciplinary action.
