How
To Schedule Equipment
Many
classrooms have permanently assigned and/or installed
equipment. (See Classroom
Equipment.) Different groups must provide
different information to place an equipment order.
Please select the appropriate link.
Administration,
faculty and staff
- Check
the WITS Equipment
in Classrooms chart to make sure that the
equipment is not already available in your classroom.
- Call
the WITS Equipment Desk at x4103 and give
the student assistant the following information:
(NOTE: Please call between the hours
of 7:45 AM and 5PM Monday-Friday. This phone
number can only be used on the Willamette
campus. If you need to call in from an outside
line during these hours, please call 370-6004.
If you need to call after hours to leave a voice mail, please leave your name, telephone number and time when we can call you back so we may get the appropriate details to make your delivery go smoothly.)
- Your
name
- Your
department
- Building
and room for delivery OR that you will pick
up the equipment yourself
- Date
and time of delivery/self pick-up
- Date
and time for pick-up/self return
- Any
special instructions, e.g., is the person
delivering supposed to set up the equipment
or just deliver it to the room.
Students
(for class use)
Delivery to a classroom. If you are ordering equipment for delivery and pick up to and from a classroom for a specific class time, schedule the equipment as follows:
Call the WITS Equipment Desk at x4103 and give the student assistant the following information:
- Your name
- The professor's class for which you are ordering the equipment
- Building and room for delivery
- Date and time of delivery (delivery time is 10-15 minutes before the start of class)
- Date and time for pick-up (you must remain in the room with the equipment until it is picked up by WITS staff)
- Any special instructions, e.g., is the person delivering supposed to set up the equipment or just deliver it to the room.
Picking up equipment at the WITS Office. When you need to pick up equipment to practice ahead of time or are picking up equipment to use elsewhere, e.g., cameras, tripods, laptop computers, you must have a faculty signature and account number for replacement of lost parts, repair of damaged equipment or late return:
- Procure
a "Student Request for AV Equipment" slip from department
secretaries or WITS Office (Smullin 101).
- Have
professor sign and issue an account number (late fee is $10 per
day)
- Bring
the completed form to the WITS office and have the student
assistant enter an equipment delivery booking. You will
need to furnish dates and times for both pick-up and return as well as information about how you will secure the equipment.
Exceptions:
Dataprojectors.
Clubs
- Check
the WITS
Equipment in Classrooms chart to make sure
that the equipment is not already available
in your scheduled room.
- Call
the WITS Equipment Desk at x4103 and give the
student assistant the following information:
- Your
name
- Your
organization
- Building
and room for delivery OR that you will pick
up the equipment yourself
- Date
and time of delivery/self pick-up
- Date
and time for pick-up/self return
- Any
special instructions, e.g., is the person
delivering supposed to set up the equipment
or just deliver it to the room.
Living
Organizations
- Check
the WITS
Equipment in Classrooms chart to make sure
that the equipment is not already available
in your scheduled room.
- Procure
a signed purple form from the Office of Residence Life
- Bring
it to WITS and have the student assistant fill out a delivery
request with the following information:
- Your
name
- Your
residence hall
- Building
and room for delivery OR that you will pick up the equipment
yourself
- Date
and time of delivery/self pick-up
- Date
and time for pick-up/self return
- Any
special instructions, e.g., is the person delivering
supposed to set up the equipment or just deliver it
to the room.
- In
all residences with steps, e.g., WISH, you must make arrangements
for someone to meet the deliverer at time of delivery. The
purple form should indicate how the equipment will be secured
if kept overnight.
Exceptions:
Dataprojectors.
Fraternities
and sororities
- At
the beginning of each semester, the president of each Greek
organization assigns one person to be the equipment coordinator
for that group. ONLY THAT PERSON may schedule WITS equipment.
- Call
the WITS Equipment Desk at x4103 and give the student assistant
the following information:
- Your
name
- Your
organization
- Building
and room for delivery OR that you will pick up the equipment
yourself
- Date
and time of delivery/self pick-up
- Date
and time for pick-up/self return
- Any
special instructions, e.g., is the person delivering
supposed to set up the equipment or just deliver it
to the room.
- Bring
a check for $25 per piece of large equipment, e.g., slide
projector, screen, camera but not extension cords, etc.
This is a deposit only and will be returned upon timely
(by the hour listed on the form) and good order (no missing
or broken parts) return of equipment. All repairs, replacements
and late charges will be billed to the fraternity/sorority.
- Inform
WITS of what arrangements will be made to secure the equipment
if kept overnight.
Exceptions:
Dataprojectors.
Off-campus
Groups

arrangements other than those made through the Scheduling
