We are writing to you to provide information on the next steps in transitioning from your PNCA.edu G Suite account (your email, calendar, and Drive) to your new Willamette.edu account.
Each of you should have received an invitation from Willamette to set up your Willamette account. If you have not already done so, please complete the setup of your Willamette account by August 15th. This is essential for you to be able to register for classes, view or update your schedule, view your financial aid award information, pay your tuition, and much more.
Please note that if you are not yet utilizing your PNCA.edu account to send and receive email or to store Drive content, you do not need to follow these steps. If you have just started to use your PNCA.edu email address, you may only need to set-up email forwarding.
As a reminder, PNCA.edu accounts will no longer be accessible after September 30, 2021. However, we are strongly encouraging users to migrate their account as soon as possible.
Here are the steps you need to follow to complete this process:
Forwarding Your Email
Please see the Setting up Forwarding in Gmail Guide (PDF document) for instructions on how to set up email forwarding.
Recreating Calendar Events
Recreate all of the PNCA Google calendar events that you organize on your Willamette calendar, re-inviting attendees at their Willamette email account (assuming they have it set-up, otherwise use their PNCA.edu account until they have transitioned).
Preparing Drive and Shared Documents
Please note that the important steps in the Preparing for Google Drive Migration Guide (PDF document) must be followed prior to this migration.
If you have removed any files from your Google Drive, make sure to empty your trash, and then wait 24-48 hours before starting your account migration. This will ensure that your trash is properly emptied, and those deleted files don’t sneak over to your new Willamette G Suite account.
Important: Do not forget to review “Shared With Me” files, and remove those that you do not want copied over to your Willamette G Suite account.
- You may bulk remove files, and we recommend selecting 50-100 at a time to remove.
- Try changing the way files are sorted. This will ensure that you are not trying to remove the same file twice as Google works to process your request.
Check your Photos, https://photos.google.com/, for hidden files.
- This is especially important if you have used Google Backup and Sync in the past!
Seeing Double after the migration? For some reason, lots of your Google Drive files may duplicate when they arrive in your Willamette G Drive. Go through and delete any duplicates as you see them.
It is important to note that all Drive documents that you share with others will no longer be shared with them once they have been migrated to your Willamette account. Once all of your content has moved, please re-share your documents with the folks that need access to them at their new Willamette account.
Migrating your Email and Drive Content
Once you have completed all of the above steps, you are ready to migrate your inbox and Drive content. Please follow the instructions in the Google Account Migration Guide (PDF document).
