Early Arrival Requests

Students wanting to request to move in earlier than their approved move in date must complete the Early Arrival Request application via the WU Housing portal by 8:00 AM on Monday, August 7, 2023. Requests will be approved/denied on a rolling basis. 

SCHEDULED MOVE IN & IMPORTANT DATES 

  • Thursday, June 15, 2023:  Early Arrival Request application opens.  Go to you WU Housing portal  to complete the request.
  • Monday, August 7, 2023, 8:00 AM:  Early Arrival Request due date.  
  • Tuesday, August 22, 2023:  New student move in and the beginning of our Opening Days program. Events during Opening Days are designed to help students become familiar with campus prior to the first day of classes and are exclusive to new students.  Keys to student rooms, IDs and information packets will be distributed on the lawn in front of the Residence Life and Housing office.  Sign up for a move in time on the WU Housing portal.
  • Friday, August 25, 2023:  Returning students are welcomed back to campus to check-in and move back into their residence halls. The office of Residence Life and Housing will be open from 9:00 AM - 5:00 PM on Friday, August 25, 2023, and 10:00 AM - 2:00 PM on Saturday, August 26, and Sunday, August 27, 2023.  Students arriving outside of the open times for the RLH office will need to pick up their key at Campus Safety.  Sign up for a move in time on the WU Housing portal
  • Monday, August 28, 2023:  First day of College of Arts and Sciences and PNCA classes for the Fall 2023 semester.
  • Friday, September 8, 2023: Last day to change meal plans - Salem Campus only.  Students can change their meal plans on the WU Housing portal until September 8, 2023.

Students who request to arrive early will fit into one or both of the following groups:

Students who are part of a WU affiliated event/activity/program beginning before August 22, 2023 
  • The student’s name needs to be submitted on an early arrival roster by the sponsoring program/department. This includes staff training, athletic team requirements, academic requirements, and student programs (e.g., Jump Start, Orientation, etc.). 
  • As long as the student completes the Early Arrival Request, and they are on the list provided by their advisor/supervisor, they will be approved to arrive early on the date specified for their particular group. 
  • Any request to arrive earlier than the approved date for their group will incur a $100 per night charge if approved. 
Students with extenuating circumstances requiring arrival before August 22, 2023 
  • If a student is approved for early arrival due to non-WU related events/activities/programs, their student account will be charged $100 per night that they are on campus prior to their scheduled move in date.  
  • Students may NOT drop off items and leave them in their living spaces; once a student’s belongings are on campus, the student is considered on campus.  
  • Please note that preferred travel schedules will not be considered as an extenuating circumstance.

For students arriving for an approved WU-affiliated event/activity/program: All students wanting to arrive early for a university sponsored event/activity/program will need to complete an Early Arrival Request located on the WU Housing portal under the Applications and Forms heading on the left side of the page.  Students will be asked to complete a few questions related to their arrival. 

A student's affiliation with an event/activity/program will be cross checked against a list provided to Residence Life and Housing by each approved group advisors/leaders.  It is the student's responsibility to work with their respective group advisors/leaders to ensure they are on this list. No early arrival fee will be assessed to students participating in WU affiliated events/activities/programs that require them to move in early.

For students wanting to arrive early, prior to their approved move in date, and are NOT part of an approved WU-affiliated event/activity/program:  The office of Residence Life and Housing will consider requests for early arrival based on need and circumstance. Completion of an Early Arrival Request does not constitute approval to arrive early.  

Requests by students who do not meet the criteria of participation in a WU affiliated event/activity/program will be weighed by the requesting student’s need and the availability of their assigned living space at the time of arrival.  

If a student is approved to arrive early for a non WU sponsored event/activity/program, the student’s account will be charged $100 per night until their approved move-in day. Meal plans are not active prior to the posted approved move in date. Non WU event/activity/program affiliated students arriving early are responsible for their own meals. 

Late Stay

The check-out deadline for Fall semester 2023, is noon, Friday, December 15, 2023.  Students who have a need to be on campus after 12:00 noon on December 15, 2023, must meet with their Residence Life Coordinator by Friday, December 8, 2023 to request an extension.  Extensions are not guaranteed.  If granted, the cost is $100 per night.  Exceptions are made for students participating in Willamette University affiliated activities and will need to be registered with the office of Residence Life and Housing by their coach/program coordinator.
