New Employees

Welcome to Willamette University and congratulations on your new position! We are delighted you are joining us.

Your role is critical to fulfilling our mission of building a community of educators committed to rigorous education, cultivating an authentic engagement with place, and promoting transformation of knowledge into action in ways that lead to lives of achievement, contribution, and meaning.

We are excited about you joining us and want to ensure that you are successful in your new role. During your first few weeks, you will meet many colleagues, managers, and human resources staff. We are all here to support you! Please don’t hesitate to contact us at hr@willamette.edu with any questions or concerns. 

Once you have officially been hired, you will receive an email with login credentials from Workday, our Human Resource Information System. You will be automatically assigned your new hire documentation in your Workday Inbox and may complete it at any time. Check out the Training Resources for Workday website for support.

Please make arrangements to visit us at the Office of Human Resources on or before your first day of work to provide supporting I-9 and work eligibility documents. (Note: You will have completed the first part of this process, filling out the I-9 form, in the Workday system). If you are unable to visit the HR office, please contact us at hr@willamette.edu to make alternate arrangements.

Human Resources is located in the University Services Building at the corner of Cottage and Ferry, a block South from the Westside Capitol building grounds. For directions to campus or to locate the University Services Building on a map, see the Campus Map and Driving Directions page.

The following links will help you get information on how to set up email, voicemail, and other campus technology services. Before setting up your technology services, please read the WITS Responsible use policies.

Additionally, there are several courses available to you on Lynda.com that can help you get started with the Google and Microsoft Office products used at Willamette. (Note: You will use your Willamette login credentials to access Lynda.com.)

ID Card - Please obtain an Willamette ID Card from Campus Safety, located in the University Services building. Your ID card will enable you to use the following privileges right away:

Parking Pass - Salem parking permits are valid September 1 through August 31 and are prorated at the time of purchase. You are responsible for proactively obtaining and displaying a valid permit if you park on campus.  PNCA also has parking passes for the parking lot in front of the school.  These passes are often sold out so check the link below or with the front desk to see if passes are currently available.

Please ask your colleagues about building emergencies (where to go in the event of a fire alarm, how to check in to let someone know you are out of the building). Please review our new employee benefits information page to learn more about your new benefits. The effective date of your benefits package is the first day of the month following your date of hire. For example, if your start date was April 7th, your benefits would begin on May 1st.  If you are hired on the first of the month, you are immediately eligible for benefits.

The purchasing card (P-Card) is a Willamette University MasterCard issued by JP Morgan Chase. The card may be used for business purposes only and those purchases must comply with Willamette University policies and procedures.  For those eligible to possess a card, completed P-Card Application and User Agreement form must be submitted to the P-Card Coordinator before a card can be issued.

New Employee Briefing presentations are held every month, and focus on providing the employee with key information and resources to assist them in their first few weeks of employment.  The Human Resources department also sponsors another new employee presentation twice a semester focusing on department information across the university.  New employees will be contacted and invited to these meetings, but you are also invited to sign up to attend.

Additionally, there are four courses that all employees are required to complete within the Workday system in the first 30 days of hire and annually thereafter. You will receive email reminders to complete the courses, but feel free to contact human resources if you have any questions or challenges taking the courses.
